1. Who we are
MacroFuel LLC (“MacroFuel”, “we”, “us”) is a Utah limited liability company that operates the website macro-fuel.com and the MacroFuel meal-planning platform (the “Service”). The Service is a business-to-business SaaS product for fitness coaches. This Privacy Policy explains what personal data we handle, why, and the choices available to you.
2. Data we collect
- Account data — coach name, business name, email address, password hash, profile photo, and billing metadata returned by our payment processor.
- Client data entered by coaches — client name, contact information, physical stats (height, weight, body composition), goals, dietary preferences, allergies, notes, meal plans, and check-in data that coaches or their invited team members enter or import.
- Usage analytics — pages viewed, features used, plan exports, error logs, device type, browser, and IP address. Analytics are used to operate and improve the Service.
- Support communications — messages you send us and their attachments.
3. How we use it
We use the data described above only to provide and operate the Service: authenticating users, generating and storing meal plans, powering the in-app AI assistant, delivering the client portal, sending transactional emails (receipts, security, product changes), providing customer support, protecting against fraud and abuse, and meeting legal and tax obligations. We do not use client data for advertising.
4. AI processing
Meal plans and Max assistant conversations are processed by third-party AI subprocessors to generate outputs (meal plans, edits, suggestions, and chat replies). Inputs are limited to what is needed to produce the requested output. By contract with our AI subprocessors, this data is not used to train third-party foundation models.
5. No sale of personal data
We do not sell personal data. We do not share coach-entered client data with third-party advertising networks, data brokers, or affiliates for marketing purposes.
6. Analytics and client PII
Product analytics used to operate the Service do not receive identifiable client data such as client names, email addresses, phone numbers, physical stats, or the contents of meal plans. Analytics are scoped to coach-account and feature-usage signals used to keep the Service reliable.
7. Retention and deletion
We retain personal data for as long as the coach account is active and for a limited period afterward to meet legal, tax, accounting, and dispute-resolution obligations. Coaches can delete individual clients and plans at any time from within the app. To request deletion of an entire account and its associated client data, email [CONTACT_EMAIL] from the address on file.
8. Coach responsibilities
Coaches are the party with the direct relationship with their clients. Coaches are responsible for obtaining any consent required under applicable law before entering a client’s personal or health-related information into the Service, and for honoring their clients’ requests regarding that information. MacroFuel acts as a custodian of that data on behalf of the coach.
9. Security
We use industry-standard technical and organizational measures to protect personal data, including TLS in transit, encryption at rest, database-level row security, and access controls. No system is perfectly secure; we cannot guarantee absolute security. See our Security page.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or by email to the account owner.
